How do I send a quote and record the customer's response?
What you'll do: On an approved quote, download the PDF and email it yourself, then click Mark as Sent. When the customer replies, record it with Mark customer accepted or Mark customer rejected.
Sending the quote
BusinessOps360 doesn't email quotes for you in this version — you send the PDF from your own mailbox and record that you did.
- On an Approved quote, click Preview PDF (or Download PDF) and email it to the customer.
- Click Mark as Sent and confirm. The quote moves to Sent.
Note: approved and sent quotes auto-expire overnight once the valid-until date passes, so get a response before then.
Recording the customer's answer
Customers don't log in — you record their reply on their behalf.
- On a Sent quote, click:
- Mark customer accepted → confirm (Yes, Customer Accepted). The quote becomes Accepted and shows the Convert to Sales Order action.
- Mark customer rejected → add the required note. The quote becomes Customer Rejected (terminal). To re-quote, use Create revision.
Letting a silent quote lapse
On a Sent quote you can also choose Mark manually expired (optional note) to close it out. This is separate from the automatic overnight expiry.
If an action is unavailable
- "…is allowed only on quotes in 'approved'" (Mark as Sent) or "…only on quotes in 'sent'" (customer response) — the quote isn't in the right status for that step.
