BusinessOps360 has three modules — CRM Sales, Service ERP, and Service Sales. You pick them during signup. Service Sales can't be chosen on its own; it needs CRM Sales or Service ERP alongside it.

Go to your workspace web address — yourslug.businessops360.com/login — and sign in with the email you used during onboarding and your password.

I forgot my password — how do I reset it?

On the login page, click Forgot password?, enter your account email, and we'll email you a link to set a new password. The link is valid for 60 minutes.

I was given a temporary password — how do I set my own?

When your workspace admin resets your password, you sign in once with the temporary password and are immediately taken to a Choose a new password screen. Enter the temporary password, pick a new one, and you're in.

How do I change my password?

Open My profile from the avatar menu (top-right) and use the change-password section there. You'll stay signed in on this device; any other sessions are signed out.

How do I invite teammates to my workspace?

As a Tenant Admin, go to Users, click Invite User, enter their name, work email, and role, and send. They get an email with a link to set their password and join.

How do I reset a user's password? (Tenant Admin)

In Users, open the user's row menu and choose to reset their password. A temporary password is generated and shown to you — and also emailed to the user as a backup. They'll be required to set their own password at next sign-in.

How do I create a quote?

On the Quotes page click New Quote, then work through the three-step slide-over: customer and header, line items, then review. Save it as a draft or submit it for approval.

How do I submit a quote, and will it need approval?

Open the draft quote and click Submit for Approval. If the total is within your threshold and every line is at or above list price, the quote is approved automatically. Otherwise it routes to your workspace's approver.

How do I approve or reject a quote waiting on me?

If you're your workspace's quote approver, open the quote from your Approver Inbox (or the notification), review it, and click Approve or Reject. Rejection requires a note.

How do I send a quote and record the customer's response?

On an approved quote, download the PDF and email it yourself, then click Mark as Sent. When the customer replies, record it with Mark customer accepted or Mark customer rejected.

How do I revise a quote?

Open the quote and choose Create revision. This makes a fresh draft (numbered …-R2, -R3, …) carrying the customer's history, which you then edit and submit like any new quote.

How do I convert an accepted quote into a sales order?

On an Accepted quote, click Convert to Sales Order, enter the customer's PO number and date, attach the PO as proof, and click Create Sales Order.

How do I work a sales order from confirm to delivery?

Confirm the draft, record dispatches (capturing serial numbers), download delivery challans, then mark it delivered. Invoices are generated from each dispatch.

How do I issue an invoice?

Invoices are generated from a dispatch, not created from scratch. On the Sales Order's Dispatches tab, click Generate Invoice on a dispatch card.

How do I record a payment against an invoice?

Open the invoice and click Record Payment. Enter the amount, method, and date, then confirm. The invoice's status updates automatically to Partially Paid or Paid.

How do I mark an invoice as sent, or void a wrong one?

Use Mark as Sent once you've emailed the invoice PDF. To cancel a mistaken invoice, use Void Invoice — but only while it has never been sent and has no payments.

How do I see what's owed and chase unpaid invoices?

Open the Payments page. It groups invoices into Overdue, Pending payment, and Recently paid, so you can work your collections list and click through to record payments.

How do I create a service request?

A Service Coordinator opens New SR (from the Service Requests list or the Dispatch Board), fills in the customer, asset, complaint, and priority, and optionally schedules and assigns an engineer. Where it lands depends on what you fill in.

How do I use the Dispatch Board?

The Dispatch Board (under Service ERP) is where coordinators assign backlog service requests to engineers and time slots by dragging cards, and reassign jobs that are already under way.

How do I assign, schedule, or reassign an engineer?

Open the service request, use Assign engineer to dispatch it, Reschedule to change the visit time, or Add job for a second visit. A job that's already under way is reassigned from the Dispatch Board.

How do I approve or reject an engineer's job-cancellation request?

When a field engineer requests to cancel a job, it appears on the service request's Jobs tab. Open the job and choose Approve cancellation or Reject — resume job.

How do I edit, cancel, reopen, or comment on a service request?

Open the request and use the Actions menu. What's available depends on the request's status.

How do I send the Field Service Report (FSR) to the customer?

On a completed job, open the service request's Jobs tab and click Send FSR to customer. Confirm the recipient email and send — the report PDF is emailed to the customer.

How do I correct (revise) a Field Service Report?

A Service Coordinator or Manager can revise a completed engineer's report from the service request's FSR area. Open Revise Field Service Report, enter why it's being revised, and save — this creates a new version, keeping the original for the record.

Where do I see service performance and SLA reports?

Service Managers get three reporting screens under Service ERP: Manager Dashboard, SLA Report, and Technicians. These are Manager-only; Coordinators don't see them.

Open the asset and use Edit for its details and warranty, the status-transition control to change its lifecycle status, and the Components tab to manage components and battery banks. Service Managers and Coordinators can do all of this.

How do I sign in to the BO360 Field Service app?

Open the app, enter your Company ID (your workspace name, e.g. pulsetech) and your email, and tap continue. A 6-digit code is emailed to you — type it in to sign in. The app is only for field engineers.

How do I see and open my jobs?

Your jobs for today are on the Jobs tab. Tap a job to open it. Use the Schedule tab for the days around today and Alerts for notifications.

How do I move a job through its stages?

Open the job and use the buttons in the action bar at the bottom. They change as the job progresses: Start Travel → Reached Site → Start Work → … → Complete Job.

What's the difference between "End Work" and "Complete Job"?

Complete Job finishes and seals the whole job. End Work ends today's visit when you're not done — for example when you need parts or have to come back. Complete needs a connection; End Work works offline.

How do I fill in the Field Service Report (FSR)?

Open the job's Job Information tab and fill in the sections as you work. Everything autosaves. Only Work Done and Status after visit are required before you can complete the job.

How do I capture signatures (and what if the customer can't sign)?

During End Work or Complete, you sign first, then the customer signs. If the customer can't sign, tap Customer cannot sign and record a reason instead.

What happens when I work with no signal?

Most job actions and all your report edits are saved on your phone and sync automatically when you're back online. A few actions need a connection. If a synced action fails, you can review exactly which one and retry it.

How do I sign in to the customer portal?

Enter your email on the portal login page and we'll email you a 6-digit code. Type it in to sign in — no password needed. Access is by invitation from your service agency.

I'm served by more than one agency — how do I switch between them?

If more than one agency serves you, you pick which portal to open right after signing in. To switch later, use the agency name at the top of the sidebar (web) or the switcher on the Home/Account screen (app).

How do I raise a service request in the portal?

Go to Raise a request, optionally pick the affected equipment, choose the issue type, describe the problem (at least 10 characters), and submit. You'll get a request number and can track it on your Service Requests page.

How do I track my service requests?

Open Service requests in the portal. Each request shows a plain-language status and, once assigned, the engineer's name. Open any request to see its full details.

Will I get updates on my request?

Track your request's status any time on your Service requests page in the portal. If you use the BO360 Portal Android app and allow notifications, you'll also get push alerts when an engineer is assigned, is on the way, and when the visit is completed. There are no email status updates.

How do I see and pay my invoices in the portal?

Open Billing → Invoices to see your invoices, what's outstanding, and download PDFs. Online payment isn't available in the portal yet — pay your agency by your usual method and they'll record it.

How do I check my equipment, warranty, and AMC contracts?

Open My assets to see your installed equipment, warranty, and service history. Open Billing → AMC contracts (website) to see your maintenance contracts. AMC renewals are handled by your agency.

Why does the mobile app say it's for field engineers only?

The BO360 Field Service mobile app admits only users with the Field Engineer role. Sales, coordinator, manager, admin, and owner accounts are refused at sign-in — by design. Use the web workspace instead.

My sign-in code didn't arrive by SMS

BusinessOps360 sends every one-time code by email, never by SMS. Check your email inbox (and spam folder), not your phone's messages.

The "Sign in" link on the signup page doesn't work — where do I sign in?

The marketing/signup site doesn't have a working sign-in link. Sign in at your own workspace address — yourslug.businessops360.com/login — not from the signup page.

Why was I suddenly logged out of the customer portal?

Either your 8-hour session simply expired, or your agency has changed your access. If signing in again doesn't fix it, your access to that agency's portal may have been removed — contact the agency.

Why does my quote need approval?

A quote is routed for approval if its grand total is above the approval threshold (default ₹1,00,000) or if any line is quoted below its list price. If neither is true, it's approved automatically.

Why can't I revise my quote after converting it?

Once a quote is converted into a Sales Order it becomes Converted, which is permanent. To sell again, raise a brand-new quote — even if the Sales Order was later cancelled.

Why doesn't the "Deactivate" option on a quote do anything?

Deactivating a quote isn't available in this version — the menu item only shows a "coming soon" message. Quotes retire on their own by reaching a terminal status.

Why can't I cancel this sales order?

A Sales Order can only be cancelled while it's Draft or Pending Dispatch with nothing dispatched yet, and you must attach a proof file. Once anything has shipped, cancellation is no longer possible.

Why can't I void this invoice?

An invoice can only be voided while it is Issued, has never been marked as sent, and has no payments. Once it's been sent to the customer or has any payment, void is gone for good.

Why is my service request flagged "Needs info"?

The request was created from an asset that's missing site details — a primary contact and/or a shipping address. Fill those in on the request and the flag clears by itself.

Why can't I close (or reopen) a service request?

There's no manual "Close" button — a completed request closes automatically overnight after a grace period. And you can only reopen a request while it's Completed; once it's Closed, reopening isn't possible.

My trial expired and now every page says "not found" — what do I do?

When a trial expires, the workspace is locked and its pages stop loading. You can't reactivate it yourself from inside the app — contact BusinessOps360 / your Kaara representative to subscribe and have the workspace reopened.

How do I subscribe and pay by NEFT?

On the Billing page click Subscribe via bank transfer, pick your modules and billing cycle, transfer the amount by NEFT using the reference code shown, then tell us the UTR and transfer date. We verify within one business day and activate your subscription.

What's on my subscription invoice?

Your BusinessOps360 subscription invoice is a proper GST tax invoice — it shows both GSTINs, the GST split (CGST + SGST or IGST), the SAC code for the service, and the amount you paid. You can download it as a PDF from the Billing page.

When does my subscription renew, and will I be reminded?

Your Billing page shows your renewal date, and you're emailed reminders 14 days and 3 days before it. To renew, you make another NEFT transfer — the same way you first subscribed.

What happens when my trial ends?

The free trial runs for 14 days with full access. When it ends, the workspace is locked until you subscribe. You can't reactivate it from inside the app — subscribe by NEFT and contact BusinessOps360 to reopen it if it's already locked.

Is Service Sales (AMC, PM plans, service-sales quotes) available in the web app?

Not as a dedicated screen. There's currently no Service Sales section in the web workspace. AMC contracts and maintenance plans are managed as back-office/API processes, appear read-only to customers in the portal, and are produced as PDFs. The Service Sales Manager and Executive roles don't yet have their own screens.

Can customers pay invoices online through the portal?

Not yet. The portal shows what's outstanding and a "Payment coming soon" note, but there's no online payment. Customers pay their agency by their usual offline method, and the agency records it.

Can I issue a credit note?

Not in this version. Credit notes are planned for a future release. Today, the only in-app way to cancel a mistaken invoice is to void it — and only before it's been sent or paid.

Does BusinessOps360 do e-invoicing, e-way bills, or GST return filing?

No. BusinessOps360 calculates GST correctly on your quotes, orders, and invoices, but it does not generate e-invoices (IRN/QR), e-way bills, or file GST returns (GSTR). Those remain separate, out-of-system tasks.

Can I use other currencies or languages?

No. BusinessOps360 is India-focused: all amounts are in Indian rupees (₹) and the interface is in English only. There's no multi-currency or multi-language support.

Does BusinessOps360 send SMS notifications?

No. All one-time sign-in codes and notifications are delivered by email (and, for the customer mobile app, push notifications). There's no SMS anywhere in the product.

No. The CRM Sales module starts at the quote. There's no lead or inquiry capture, qualification, or funnel stage before that.
