How do I create a quote?

Sales Executive

What you'll do: On the Quotes page click New Quote, then work through the three-step slide-over: customer and header, line items, then review. Save it as a draft or submit it for approval.

Before you start

You need an active customer with at least one active address, and the products you want to quote. (Prices, HSN/SAC, and GST rates come from your Product Master — you don't type them in.)

Steps

  1. Go to Quotes and click New Quote. The Create Quote slide-over opens.
  2. Step 1 — Customer & Header: pick the customer, billing address, site/delivery location, quote date, and valid-until date (defaults to +30 days). The form shows the GST type it derives from the customer's state versus yours (CGST + SGST for in-state, IGST for out-of-state).
  3. Step 2 — Line Items: click Add line for each product. Enter the quantity and your quoted unit price. The product's list price shows as the floor — you can quote below it, but doing so will send the quote for approval. GST and the line total are calculated for you.
  4. Step 3 — Review & Save: check the totals and the approval preview. Click Preview PDF to see the customer-facing document, then Save and Submit to submit it, or use Save Draft to keep it as a draft for now.

Your quote is created in Draft with a number like APEX-QTN-FY26-000123 (per financial year).

Good to know

  • The customer-facing PDF hides your internal discount line and status labels.
  • A quote needs at least one line item before it can be submitted.
